Terms and Conditions
These Terms & Conditions apply to all sailing experiences organized by Groupsailtrip.com (“the Organizer”).
By confirming a booking, the participant (“Guest”) agrees to the terms below.
1. About the Experience
Our trips are curated sailing experiences, designed to combine time at sea, exploration, and community.
Sailing is a dynamic activity influenced by weather, sea conditions, and safety considerations. For this reason, routes, schedules, and destinations may evolve during the journey. Flexibility is part of the experience.
Some trips may be hosted or accompanied by a creator or influencer. While they contribute to the atmosphere and content of the trip, all operational and safety decisions remain the responsibility of the Organizer and the skipper.
2. What’s Included
Unless stated otherwise, the experience includes:
Accommodation onboard the vessel
A professional skipper/captain
A shared sailing itinerary and group experience
The experience does not include:
Travel to or from the departure location
Travel insurance (mandatory)
Food, beverages, fuel, marina fees, or provisioning unless specifically mentioned
Personal expenses
3. Booking & Payment
A booking is confirmed once the initial deposit has been received. The deposit secures the Guest’s place on the trip and is applied toward the total trip price.
The remaining balance is divided into two equal instalments:
First instalment: due four (4) months prior to departure
Final instalment: due two (2) months prior to departure
All payment deadlines are communicated in the booking confirmation and form part of the booking agreement. Failure to complete any payment by the stated due date may result in the cancellation of the booking and the release of the reserved spot.
4. Guest Cancellations
If plans change, the following cancellation terms apply unless otherwise specified:
More than 90 days before departure: You'll receive a future trip credit for the amount of your down payment (minus a $100 cancellation fee per Traveler). This trip credit is valid for one year from the date it is issued. Additionally, any payments made beyond the original down payment will be refunded to your original form of payment.
Less than 90 days before departure: At this point, all payments are non-refundable because your experience is already in motion behind the scenes. By this time, our operating partners will be working with local businesses to secure your accommodations and finalize your activities.
Transfers to another participant may be possible with prior written approval from the Organizer.
5. Changes or Cancellation by the Organizer
The Organizer reserves the right to adjust the itinerary, timing, or route when necessary due to weather, safety, or operational considerations.
In rare cases where a trip must be cancelled prior to departure, Guests will receive a full refund of payments made to the Organizer. The Organizer cannot be held responsible for personal costs incurred, such as flights or accommodation booked independently.
6. Life Onboard & Conduct
To ensure a positive experience for everyone onboard, Guests are expected to:
Follow all safety instructions given by the skipper or crew
Treat fellow guests, crew, and the vessel with respect
Act responsibly at all times
Should a Guest’s behavior compromise safety or the wellbeing of others, the Organizer or skipper may limit participation or, if necessary, end the Guest’s involvement in the trip without refund.
7. Sailing & Personal Responsibility
Time at sea comes with inherent and unpredictable elements. Conditions may include motion, changing weather, and physical activity.
By joining the trip, Guests acknowledge these realities and accept personal responsibility for their participation, wellbeing, and comfort throughout the experience.
8. Insurance & Health
All Guests are required to hold valid travel insurance covering medical care, evacuation, and trip interruption.
Guests are responsible for ensuring they are medically fit to participate and for disclosing any relevant conditions prior to departure.
9. Personal Belongings & Liability
Guests remain responsible for their personal belongings throughout the trip.
Participation is at the Guest’s own risk. To the fullest extent permitted by law, the Organizer cannot be held liable for personal injury, illness, loss, or damage, except where caused by gross negligence or where liability cannot legally be excluded.
10. Photography & Media
Our trips may be photographed or filmed for documentation and promotional purposes.
By participating, Guests consent to the reasonable use of such material unless they notify the Organizer in writing prior to departure. Personal content creation is welcome, provided it respects privacy and safety onboard.
11. Regulatory Status
Unless explicitly stated otherwise, the experience does not constitute a package travel arrangement under applicable package travel legislation. The Organizer provides access to a sailing experience rather than a comprehensive travel package.
12. Force Majeure
The Organizer shall not be held responsible for disruptions caused by circumstances beyond reasonable control, including but not limited to: severe weather, natural events, mechanical issues, or government restrictions.
13. Governing Law
These Terms & Conditions are governed by the laws of Finland and the European Union.
Any disputes shall be settled under the jurisdiction of Helsinki / Finland.
14. Acceptance
By completing a booking, Guests confirm that they have read, understood, and accepted these Terms & Conditions.
